How to plan a seminar

Knowing how to plan a seminar is not immediately obvious, especially if you’re new to event planning. But with a little preparation and guidance, you can host a successful seminar that will leave your attendees feeling informed and inspired. In this blog post, we’ll cover the fundamentals of how to plan a seminar, from defining your goals to selecting a date.

Define Your Goals

The first step is to answer this question: What is the purpose of my seminar? Answering this question will allow you to answer other questions such as ‘who is our audience?’, ‘who will speak?’,  and ‘how will the event be structured?’. You’ll also want to establish a clear profit goal.

Establish a Budget

With your profit goal established you can begin to budget for the event. You’ll need to consider the cost of the speaker(s), the cost of the venue, the cost of accommodations, the cost of food and refreshments, the cost of materials, and how much to set aside for contingencies. Plan Logistics

Depending on the needs of your event, you’ll want to consider how to get your written materials printed, and how and when to deliver and distribute them to the event. Will your event require name badges? What are your A/V needs? Will you need signage? How will you sell tickets? What will your catering needs be? A successful seminar will require careful planning and execution.

Define Your Audience

Who might be interested in your seminar and how will you entice them to attend? You will almost certainly want to create a website and a digital marketing strategy may be necessary as well. You also need to decide on your speaker or speakers. You should watch previous talks a speaker has given to determine their suitability. Make a list of your top picks and reach out to them one by one. Your ideal speakers may also provide clues as to who your audience is and how you can reach them.

Create an Agenda

Your seminar will need a chronological list of events and before the seminar you’ll want to rehearse these events to iron out any unforeseen issues. It’s important to plan for breaks with food and drink and you’ll need to build unforeseen delays into the plan so that, should they occur, you’re able to adjust comfortably. Select a Venue

How many tickets do you need to sell to reach your profit goal? Answering this question will help you choose a venue with the appropriate capacity. You should choose a location that is convenient for your audience to reach: a place nearby that they can easily find. Does a venue provide accommodation, or is there adequate accommodation at hand? Do they have WiFi? What’s their furniture like? Do they provide catering? Do they have staff? What’s their layout like and is it right for your seminar? How are their washroom facilities? Select a Date

When choosing a date you’ll need to think about when your audience, speaker, venue, and companies you may be working with are available for your seminar. Avoid booking on holidays or any day where a major event is taking place (like a sporting event or a concert). Best practice is to choose an optimal date, but a secondary backup date just in case.
